Changing the time frame of the booking system

The Timeframe of the system is what controls the break times, opening hours and all services are a multiple of the Timeframe.  It is easy to mix together “timeframe” and “duration of services” but please note that you can change time frame in Settings//Configuration and you can change duration of services under Manage//Services.

This can be demonstrated by the following examples: Let’s say for example that the timeframe is set to 10 minutes:

  • Opening hour can be from 8.00 (am), or 8.10 (am), 9.20 (am)etc
  • Closing hour can for example be 5.40 (pm) or 6.50 (pm) or just 6.00 (pm)
  • Service duration can be 10, 20, 30, 40, 50, 1 hour, 1h10, 1h20 etc etc
  • Break time during lunch can be set for example from 12.00 to 12.50
  • If timeline is set to Flexible, clients can make a booking, every 10 minutes of the hour.

Now lets take another case where the timeframe is set to 30 minutes 

  • Opening hour can be from 8.00 (am), or 8.30 (am), 9.00 (am) etc
  • Closing hour can for example be 5.30 (pm) or 6.00 (pm) or 6.30 (pm) etc
  • Service duration can be 30 minutes, 1 hour ,1 hour and 30 minutes, 2 hours , 2 hours and 30 minutes  etc
  • Break time during lunch can be set for example from 12.00 to 12.30 or to 13.00 (1pm)
  • If timeline is set to Flexible, clients can make a booking, every 30 minutes of the hour.

Now lets take another case where the timeframe is set to 60 minutes 

  • Opening hour can be from 8.00 (am),  9.00 (am) etc
  • Closing hour can for example be 5.00 (pm) or 6.00 (pm) or 7.00 (pm) etc
  • Service duration can be 1 hour ,2 hours, 3 hours  etc
  • Break time during lunch can be set for example from 12.00 to 13.00 (1pm)
  • If timeline is set to Flexible, clients can make a booking, every hour.

To change the timeline from one setting to another, you need to  make sure that break-time are a MULTIPLE of the new settings. So you can not use a 15 minute break time if you want to set timeframe to  30 minutes from 15 minutes, because 15 minutes is not a multiple of 30 minutes (but it would be fine the other way around). Same goes for service duration, you can not have any services with duration of 20 minutes if you want to set new timeframe to 1 hour. Opening hours also need to be set accordingly to the new settings, and finally all bookings in dashboard should be deleted if they use a duration which is not a multiple of new timeframe. If you have set a break-time for specific days or in service performer’s opening hours with old the timeframe and then marked the day as “closed”, what can happen then is that the break-times problem might not be visible and you can not change the timeframe to the new setting. The timeframe setting should normally be done in the beginning of the set up process and not later on. Changing it is a complex thing especially if you have already many bookings with a duration that is not a multiple of the new timeframe.     Hello, I have a problem: If there are services that last more than 1 hour (eg. 6 hours) it seems that the service can only be booked in every 6 hours even though the date is completely free to begin with. So if my clien would like to book me for 6 hours beginning from 10:00, the system only allows to book beginning at 8:00 or 15:00 (inside the opening hours)! Not at 9:00, 10:00, 11:00…, even though there is vacancy?

      For this you need to use the Flexible timeline, then clients can choose to start at any interval.

        I do not see an option for this under Timeline on the Configuration page. What is the procedure for setting the timeline to Flexible?

          There is Timeframe on configuration page, which defines time frame of the system and everything is multiple of timeframe, but Timeline in Design section and defines how timeframe is displayed.

            Same problem – i have a 45 min. service, but i cannot start it at 10:00, only 9:00 – 9:45 – 10:30 etc. – And in the timeframe chooser i cannot find the Flexible menu – only 5 – 10 -15 min. etc. – Please help.

            There is difference between Timeframe and Timeline. Timeframe is the basic time that your system works on and everything in system is a multiplicative of this. Timeline is how time is displayed for your clients and can be found in Design section in settings menu.

            As for opening, remember that you have Company opening hours and providers opening hours. To have service start at 10, you can set provider or company available at this time. To FIX the booking on whole hours, just set a break time at 9-45-10, 10.45-11, 11.45-12 etc for each of your opening days. Then your 45 minute service can only be booked on the whole hour.

            This answer was accurate, but not very clear. In order to change the Timeline to a Flexible Timeline so that your clients can choose the starting time, go to the Settings section, and in the “Design” column (far right) select “Logo, Background, and Timeline.” From there, you can change the timeline to ‘flexible’ which will allow clients to select their starting time for their block.

    How do I set up the time frame so that I have a 1 hour service and 30 minutes between each service?

      If you created it by making duration X minutes long and then you wrote in description shorter duration, you can simply just either change the duration time or time you set in service description. See here: http://blog.simplybook.me/more-video-tutorials/

    I can’t change the time frame from 15 minutes to 1 hour… I don’t know why it went to 15 minutes but I can only have bookings every hour! I already deleted all timetable configurations, there shouldn’t be any restriction to changing the timeframe. At least allow the account to be reset please

    How can I set up so my clients can book a specific type of appointment on only on certain days of the week. For example, I may be available for other appointments but for a certain service, I only take appointments on Mondays and Thursdays?

      Then you need to create your self as seperate providers, and relate this provider only with relevant services. The provider is then set to have work hours when relevant service is provided. Take care to have company hours open as extensive as all providers.

    My timeframe is set up hourly…. however, most clients will want to book multiple hours. Your system will not allow it unless they make a fresh booking.

    Is there a way clients can book multiple hours in the same booking?

      You can create services with longer duration than one hour and your clients can select those services.

    I would like the duration of services to be 1 hour and the increments on the calendar to be in 15 minutes. For example I had a client wanting to start at 5:45 to 6:45. Is this possible?

    Hi so i inserted my available time which is only 7pm mon-friday for one client because the time doing eyelash is 3 hours and i put my working hours but its not showing on my profile page bookings? help

    I do NOT want the client cancel the appintment 2 hours in advance, how can I do this? Example: If the appointment is made at 16:00 pm, the client is not allowed to cancel it at 14:30 p.m.~

    I have a consulting business, so people are booking from different time zones. It seems like the bookings are all showing up in my timezone and not the correct time zone for the client. Is there a fix to this?? Overall, I love this progam! Thank you!

      Hopefully our live help already helped you with this, but this is something you find in Settings // Configuration // Timezone settings. Just enable it and all should work fine.

    The setting in my Timeframe to Send notifications to clients in their own timezone is set to “No” and I can’t change this. Why not? Is that a custom feature?

      There are 2 options for timezone, to change this one, you must first choose the other.
